Constitution of Mitcham Ladies Hockey Club

1. TITLE
The Club shall be called MITCHAM LADIES HOCKEY CLUB (“the Club”) and shall be affiliated to the English Hockey Association and the Surrey Hockey Association
2. OBJECTS
To foster and promote the sport of hockey for ladies at all levels, providing opportunities for coaching, recreation and competition.
3. MEMBERSHIP
3.1 Membership shall be open to any lady completing an application form, which shall be placed before the Committee, who shall be entitled to make any enquiries thought to be necessary in connection with the application.
3.2 The Committee shall have the power to refuse, suspend or terminate the membership of any person who wilfully infringes the Club Rules or whose general or particular conduct is judged by the Committee to be prejudicial to the interests and well-being of the Club.
3.3 Only full membership is available to players but non-playing Coaches and Umpires can be appointed Honorary members of the Club.
3.4 Annual subscriptions and other fees shall be determined by the Committee. However, should the Committee judge that such subscriptions and fees are inadequate in any year they shall be empowered to call for an additional levy from each member. Annual subscriptions shall be payable on or before 1 st September each year.
3.5 The acceptance and continuation of membership of the Club requires the payment of subscriptions and acceptance of the Constitution and Club Rules, copies of which shall be supplied to each new member upon joining the Club. When changes are made to the Constitution and Rules, revised copies will be supplied to members at the beginning of the next Season.
4. OFFICERS
4.1 Executive. Club Secretary, Club Treasurer, Club Captain, Fixture Secretary, Social Secretary, Team Captains, Website Manager, Sponsorship Secretary and New Members’ Secretary
4.2 Non-Executive. Honorary coaches and umpires.
5. ELECTION OF OFFICERS
5.1 The Club Captain shall be appointed annually by the Committee.
5.2 All other Executive Officers shall be elected at the Annual General Meeting by Club members.
5.3 All Officers are elected for a period of one year but may be re-elected to the same or other office the following year.
5.4 If a vacancy on the Committee shall occur during the year the Committee may fill the vacancy by co-opting a member of the club or nominating an existing Committee member to carry out the duties of the vacant office until the next Annual General Meeting.
6. ANNUAL AND EXTRAORDINARY GENERAL MEETINGS
6.1 A General Meeting of the Club shall be held annually after the end of the season and no less than fourteen days’ notice shall be given of such meeting. Twelve members or two thirds of the total membership of the Club, whichever is the lower, shall form a quorum.
6.2 The Committee, at its discretion, may call an Extraordinary General Meeting of the Club at any time upon giving fourteen days’ notice.
6.3 The Club Secretary shall call an Extraordinary General Meeting of the Club within twenty-one days of being requested to do so, in writing, by no less than five members of the Club, who shall state the purpose for which the meeting is to be called. Fourteen days’ notice of such Meeting shall be give to Club members.
7. COMMITTEE MEETINGS
No less than seven days’ notice shall be given of Committee Meetings. Four Committee members shall form a quorum. The Committee shall elect a Chairman who shall have a second or casting vote if and when required.
8. FINANCE
8.1. Each member shall be required to pay an annual subscription for the ensuing season at the rate determined by the Committee.
Subscriptions must be paid by means of cheque, bank transfer or Direct Debit. Cash payments will not be accepted. Subscriptions can be paid in full on or before 1 st September, which payment will include a non-refundable sum of £50; or may be paid in instalments with a minimum non-refundable deposit of £50 on or before 1 st September, the balance to be paid in equal monthly instalments, the last of which must be made on or before the following 1 st April.
New members who join after the beginning of the Season shall be required to pay a pro-rata subscription determined by reference to their date of joining. The subscription can be paid in full, which payment will include a non-refundable sum of £50, or may be paid in instalments with a minimum non-refundable deposit of £50, the balance to be paid in equal monthly instalments, the last of which must be made on or before the following 1 st April.
8.2 Match fees shall be set annually by the Committee and shall be payable immediately after each match.
8.3 If, in any year, coaching fees are incorporated in the annual subscription of a member then, in such cases, coaching sessions shall be free of charge to the fully paid-up member. In all other cases, coaching fees shall be payable by players attending Club coaching sessions and the amount payable shall be determined according to the cost of pitch hire. These fees shall be payable at each coaching session.
8.4 Any surplus of annual income over annual expenditure of the Club shall be paid into the funds of the Club.
8.5 The Treasurer shall prepare annual accounts, which shall be presented at the Annual General Meeting.
9. AMENDMENT OF THE CONSTITUTION AND CLUB RULES
This Constitution and the Club Rules may be repealed, altered or added to by a two-thirds’ majority of Club members present and voting at an Extraordinary General Meeting called for that purpose, or at an Annual General Meeting. Any Club member wishing to propose any amendment to the Constitution or Club Rules shall give notice to the Club Secretary no less than seven days before such General Meeting.
10. DISSOLUTION OF THE CLUB
In the event of a dissolution of the Club any monies remaining after the settlement of all liabilities shall be disposed of in accordance with the wishes of the members as resolved at the final General Meeting.
